The Challenge

As Borusan EnBW expanded its renewable energy operations, financial governance and regulatory compliance processes became increasingly complex. The organisation required strict enforcement of financial authority matrices, full traceability of approvals and seamless coordination across operational units.

Financial operations represented the most critical bottleneck. Weekly vendor payments had to comply with clearly defined approval limits based on financial thresholds. However, approval processes were largely dependent on manual coordination. Delays occurred when authorised signatories were unavailable, approval hierarchies were not consistently enforced or documentation was incomplete.

Payment files were manually prepared for bank submission, creating operational risk. Formatting errors, version inconsistencies and fragmented validation steps increased the likelihood of rejected transactions and rework, impacting both efficiency and financial control.

Beyond finance, several core business processes relied heavily on emails, spreadsheets and static PDF documents. This fragmented structure limited visibility, weakened auditability and made it difficult to maintain a single source of truth across projects and departments.

Regulatory and administrative documentation added another layer of complexity. Applications for grants, permits and licences required the preparation, circulation, signing and submission of numerous documents to public authorities. Incoming and outgoing official correspondence was tracked manually, making it difficult to associate records with the correct project, monitor status in real time or ensure compliance readiness during audits.

Although SAP supported core ERP functions, previous attempts to manage end-to-end workflows directly within SAP proved costly and operationally rigid. The organisation required a more agile, workflow-driven platform capable of integrating with existing enterprise systems while enforcing governance rules consistently.

The Solution

Emakin was implemented as a unified digital workflow platform to automate and integrate Borusan EnBW’s vendor payment approvals, regulatory document management and corporate processes.

The vendor payment process was redesigned as a structured, rule-based workflow fully integrated with SAP. Payment data is automatically retrieved from SAP and routed through hierarchical approval flows based on predefined financial thresholds. Higher-value transactions trigger multi-level approvals in accordance with internal authority matrices.

Approvals are completed using secure electronic signatures, ensuring both legal validity and full traceability. Once all approvals are finalised, the system automatically generates bank-compliant payment files and transfers them through integrated banking processes. This end-to-end automation eliminates manual file preparation, shortens processing times and significantly reduces rejected transactions.

Regulatory records and official correspondence are centrally registered, monitored and archived within the platform. Through integration with SharePoint, document templates are generated and populated in a structured manner, while OCR capabilities process incoming documents and associate them with relevant records. Secure electronic correspondence channels are embedded within the workflow, ensuring compliant communication with public authorities.

The platform operates within a secure private cloud environment and integrates seamlessly with SAP, SharePoint and Active Directory, creating a cohesive and scalable enterprise architecture.

Impact

With Emakin, Borusan EnBW transitioned from fragmented manual workflows to a centralised and automated operational model.

Vendor payment approvals are now governed by clearly defined, amount-based hierarchical workflows supported by electronic signatures and direct bank integration. This has reduced approval delays, eliminated authority mismatches and minimised payment rejections.

Regulatory records and corporate correspondence are fully traceable, searchable and audit-ready. Integration with SAP ensures financial data consistency and strengthens internal control mechanisms.

Today, Emakin supports more than 250 active users across 25 operational processes, managing over 20,000 transactions and serving as a mission-critical digital foundation for Borusan EnBW’s renewable energy operations in Turkiye.
